Who we are.
Buehler Trapani LLP (BTLLP) is a woman-owned law firm in the San Francisco Bay Area specializing in impartial, third-party workplace and campus investigations across California, Washington, Wisconsin, and Illinois. We investigate diverse employment issues for public and private employers and Title IX cases for schools and universities, including allegations of sexual misconduct, harassment, discrimination, and other complaints.
We are breaking the mold of the traditional law firm administrator role. That mindset has been part of our firm from the beginning. We entered the investigations field because we saw a need for a more thoughtful, rigorous, and human-centered approach, and we built our firm around meeting that need. Now, we are excited to be in a place of growth and are looking for an Operations & Insights Partner to join us on this journey.
What we are looking for.
Financial Fluency & Data Insights:
We want an operations partner who confidently manages the firm’s billing cycle and financial administrative processes in coordination with the firm’s bookkeeper and Partners. Tactically, this means preparing pre-bills for attorney review and finalizing client invoices, as well as processing client payments, including remote deposits. You will also leverage this data to prepare periodic revenue projections based on billing and receivables, as well as think of new ways to build data-driven measurements into our operations.
Elevating the Client Experience:
You will play a central role in client intake and client experience. As a primary point of contact for incoming calls from prospective and current clients, your empathy and judgment will shine as you conduct initial intake calls to assess potential client needs and fit. By seamlessly conducting conflicts checks and preparing and sending engagement agreements and welcome communications, you ensure our clients are supported from their very first interaction with Buehler Trapani LLP.
Systems Ownership & Team Support:
We need someone to develop, document, and maintain firm systems and procedures. You will actively maintain firm case management systems (Clio and Microsoft 365 ecosystem), including matter setup and updates, and train new employees on firm systems and internal procedures. Beyond technology, you will manage core HR functions (we use Gusto), such as maintaining employee personnel files, administering employee benefits programs, and coordinating and tracking continuing legal education (CLE) for attorneys. You will also act as our liaison to manage relationships with firm vendors, service providers, and technology providers.
What you bring.
- 5+ years of experience in an operations role; we are interested in individuals who have worked in regulated, complex environments (such as professional services).
- Strong familiarity with billing processes and case management systems (we use Clio, awesome if you have exposure to Clio or other similar platforms).
- Highly organized and systems-oriented.
- Proactive and focused on finding solutions.
- Desire to work independently on heads-down work, connect collaboratively with the team on priorities, workflow, and operational decisions, and deliver once decisions are made.
Compensation and Where we work.
The salary range for this position is between 100k-125k, with final pay depending on experience/qualifications. We are a hybrid, distributed firm with team members across California and Illinois. This role will sit in Walnut Creek, CA alongside one of our Partners. Typical in-office expectations are 2 days a week in office for standard working hours (9-5, M-F).

We are seeking a strong operator to steward the infrastructure of our firm and elevate the way we work. This role requires someone who must be comfortable operating at both a strategic and tactical level—managing systems, workflows, and personnel as well as stepping in to support day-to-day office needs. You will oversee firm administrative operations and ensure smooth day-to-day functioning of the office, while remaining agile enough to assist partners with operational, administrative, or strategic projects, as needed.
